Assets

Track equipment, who is using it, and its maintenance history from Organization → Assets.

An asset is one physical item. A template defines the brand, model, and reusable attributes for similar items. An asset identifier identifies one item; tags group items for filtering.


Open Organization → Assets to find equipment by name, identifier, or serial number. Select an asset to review its details, assignment, and maintenance history.

Owners and Admins manage assets and templates. Available records depend on your organization and access.

Walkthrough of “Find and review assets”

  1. Open Organization → Assets.
  2. Search by name, asset identifier, or serial number.
  3. Use the Status filter to select one or more statuses. Use Tags to narrow the list to tagged equipment.
  4. Clear filters when you want to return to the full list.
  5. Open an asset to review its Details, Activity Timeline, and Expense Breakdown.

The timeline records assignments, status changes, and maintenance. The expense breakdown groups recorded maintenance costs by maintenance type. A missing maintenance cost does not represent a zero-cost estimate for future work.

You can also find assigned equipment from a user’s or location’s Assets tab. Follow the user or location links in an asset’s timeline to see where equipment moved.


Create an asset for each physical item you track. You can assign it to a person or location and update its status as it moves into use, maintenance, or retirement.

Use tags and attributes to organize equipment and record custom details. Templates supply reusable details for similar items.


Log maintenance to keep service dates, costs, and notes with the asset. QR labels give your team a quick way to open its record.

Walkthrough of “Download or print a QR code”

  1. Open an asset and click QR Code.
  2. Adjust Print Size using the slider.
  3. Choose Download to save an SVG label, or Print to open the browser’s print dialog.
  4. Attach the label to the corresponding equipment.

Scanning the code opens that asset’s WorkWizard URL. The person scanning still needs to sign in and have access to the asset. A QR label does not make asset details public.
