Reports

A report turns the forms your team has submitted into numbers you can act on — who completed their checklists and who did not, how often something fails, how one location compares to another.

You build a report once and it stays up to date. It can also be emailed to you and your managers on a schedule, so you do not have to remember to look.

Walkthrough of “Creating a Report”

  1. Navigate to the Reports page.
  2. Click the Create button in the top right corner.
  3. Enter a name for the report.
  4. Select the form you want to create a report for.
  5. Click Save.

After saving, you will be taken to the report builder where you can configure your report’s filters and settings.

  1. Navigate to the Reports page.
  2. To find a specific report, use the search bar at the top of the page to search by name, or filter by report type or creator.
  3. Click on any report in the list to view it.
  1. Navigate to the Reports page and click on the report you want to modify.
  2. In the report builder, you can freely adjust the report filters.
  3. Click Save to apply your changes.

You can delete a report in two ways:

  • From the Reports list:
    1. Navigate to the Reports page.
    2. Click the ellipses (…) next to the report you want to delete.
    3. Click Delete and confirm the action.
  • From the Report view:
    1. Open the report you want to delete.
    2. Click the Delete button in the top right corner.
    3. Confirm the action.

  1. Navigate to the Reports page and open the report you want to export.
  2. Click the Export button in the top right corner.
  3. Select whether you want to receive the report via email or download it as a file.
  4. If you choose email, you will be prompted to enter a recipient’s email address.
  5. Click Export.

You can schedule reports to be automatically generated and sent to specific users.

  1. Navigate to the Reports page and open the report you want to schedule.
  2. Click the Schedule button in the top right corner.
  3. Configure the schedule settings:
    • Show Full Report: If checked, recipients will see the full report with all data. If unchecked, they will only see data they have permission to access.
    • Repeats: The frequency of the report (e.g., Daily, Weekly, Monthly).
    • Every: The interval for the repetition (e.g., every 1 week, every 2 months).
    • Timezone: The timezone for the schedule.
    • Start Date: The date the schedule should begin.
    • Recipients:
      • Emails: A list of email addresses to send the report to.
      • Users: Specific users to send the report to (must have an email address).
      • Teams: All users within selected teams.
      • Roles: All users with selected roles.

This report shows all form submissions for a specific form with advanced filters.

Filters can match on all or any of the following fields:

  • Any Field: This will match on any field in the form submission
    • is: This will match on the exact value of the field
    • contains: This will match on any field that contains the value
  • Submitted By: This will match on the user that submitted the form
  • Date Submitted: This will match on the date the form was submitted
  • Time to Complete: This will match on the time it took to complete the form
  • Distance from Location: This will match on the distance from either the assigned location, or the answer to the first root location question in the form
  • Team: This will match any submission that happened under this team

Filters can also match each field in the form submission

You can also select which questions you want to display and export in the report.

Walkthrough of “Completion Status Report”

This report shows the completion rate across the organization for assignments past due date. These can be filtered by:

  • Form: The form(s) that the assignment was for
  • Task: Whether to include tasks in the report
  • Team: The team that the assignment was for
  • Date Due: The date the assignment was due

There are also two modes to view the report:

  • Compare: Shows the completion rate for each selected form, and then shows a combined completion rate
  • Combine: Displays aggregated data for each form and task

Note: Locations will show both the count of user submissions under the location and the count of submissions assigned to the location.

Completion Status by Role, Location or User

Section titled “Completion Status by Role, Location or User”

Three further reports ask the same question as the Completion Status report above, but group the answer differently:

All three cover assignments past their due date, offer the same Compare and Combine views, and share these filters:

  • Forms: the form(s) the assignment was for
  • Task: whether to include tasks
  • Team: the team the assignment was for
  • Date Due: when the assignment was due

Each then adds the filter it groups by — Roles for the role and user reports, Locations for the location report, and Users for the user report.

This report shows count of form submissions by role. These can be filtered by:

  • Date Submitted: The date the form was submitted
  • Form: The form(s) that the submission was for
  • Role: The role(s) the submitting user has
  • Team: The team that the submitting user is on/under
  • Time Period: The time grouping for the report. Options include:
    • Day
    • Week
    • Month
    • Year

This report shows count of form submissions by location. These can be filtered by:

  • Date Submitted: The date the form was submitted
  • Form: The form(s) that the submission was for
  • Location: The location(s) the submitting user is on
  • Team: The team that the submitting user is on/under
  • Time Period: The time grouping for the report. Options include:
    • Day
    • Week
    • Month
    • Year

This report shows count of form submissions by team. These can be filtered by:

  • Date Submitted: The date the form was submitted
  • Form: The form(s) that the submission was for
  • Teams: The teams that the submitting user is on/under

Note: Each team will display the cumulative count of submissions for it and all subteams under it.

Counts how many submissions passed and how many failed, broken down by question — so you can see which check fails most often. Filter by:

  • Date Submitted: The date the form was submitted
  • Team: The team that the submitting user is on/under

Note: The number of pass or fails could include submissions from before the form was edited to include the pass/fail evaluation. These will be evaluated as Neutral.
