Create and manage assets
Create an asset
Section titled “Create an asset”- Open Organization → Assets and click New Asset.
- Enter a Name. If you use an Asset Identifier, choose a value unique within your organization.
- Add a Brand, Model, and Serial Number as needed. Brand and model fields let you select an existing value or create one; choose a brand before choosing its model.
- Leave Status as Available for equipment that is ready to assign. Add notes, tags, or attributes if needed.
- Click Save. Find the new item in the Assets list and open it to check its details.
To use shared equipment definitions, select a template before filling in the asset. To deploy it immediately, assign it to a user or location.
Edit an asset
Section titled “Edit an asset”- Find the asset in Organization → Assets.
- Open its ⋮ menu and choose Edit.
- Update its name, identifier, serial number, notes, or other editable fields.
- Click Update. Cancel closes the editor without saving the asset changes.
An asset already created from a template has its template selection locked. Its brand and model are controlled by that template.
Delete an asset
Section titled “Delete an asset”- Open the asset’s ⋮ menu in the Assets list.
- Choose Delete and check the confirmation.
- Confirm only when the asset and its history are no longer needed.
Deletion removes the asset and its maintenance history. To keep its history while taking it out of service, set its status to Retired.
Assign or return an asset
Section titled “Assign or return an asset”- Open the asset’s ⋮ → Edit menu.
- Choose Assign To User or Assign To Location, then select and confirm the recipient.
- Click Update and open the asset to confirm its assignment in the details and timeline.
Selecting a user clears the location; selecting a location clears the user. Either selection sets the status to In Use. An asset has one assignment target at a time.
To return equipment to the available pool, clear the assignment and set Status to Available, then update the asset. Setting Available alone is not a substitute for clearing the assignment.
You can also add an asset from a user’s or location’s Assets tab. That context preselects its assignment.
Change an asset’s status
Section titled “Change an asset’s status”- Open ⋮ → Edit for the asset.
- Select Status: Available, Unavailable, In Use, Maintenance, Retired, or Missing.
- Click Update and check the status and timeline.
Choosing Unavailable, Maintenance, Retired, or Missing clears both assignment fields. Returning to Available does not restore a previous user or location. Assign the item again when it is ready.
Use Maintenance to identify equipment out of service, then log the work. Logging maintenance and changing asset status are separate actions.
