Claims

Link your stores to a brand so they can receive brand assignments and use the brand’s location attributes. Corporate builds the roster; franchisees use their own organizations to claim and link existing locations.

Corporate reviews requests for unassigned stores. Corporate and franchisees can also remove existing links when a store needs to be corrected or changes ownership.

Use the troubleshooting guide when a store cannot be linked. For a new brand, follow the onboarding checklist.

Choose the flow that matches the entry’s Organization setting and the brand’s Enforce roster setting. All three paths require an existing franchisee location and an organization already connected to the brand.

For step-by-step instructions, corporate can add the entry, then the franchisee can accept it.

With Enforce roster on, you can also find the entry by identifier and click Accept claim. The result is the same.

Walkthrough of “Claim your stores”

In your franchisee organization, open Brand Center and click Brand center claims. If there are pending entries, the button reads Pending claims (N). Use Pending claims to review invitations and requests, and Linked locations to see stores already connected to a brand.

Roster statusWhat the franchisee sees
AvailableA pre-assigned entry appears as Ready to accept. For Unassigned, use its identifier to request a claim.
Needs ApprovalYour request appears as Awaiting corporate approval. The location is not linked yet.
ClaimedThe location is linked and appears under Linked locations.

Accept an entry corporate pre-assigned to you

Section titled “Accept an entry corporate pre-assigned to you”
  1. On Pending claims, find the store marked Ready to accept.
  2. From its row menu, choose Accept and link a location.
  3. Under Match to your location, select the corresponding location. WorkWizard selects a match automatically when its Store Number matches the roster identifier; check the selection before continuing.
  4. Click Accept and link a location.

The link takes effect immediately. Check Linked locations to confirm it appears.

If a store is not listed under Pending claims, use the identifier corporate gave you. This claim flow requires Enforce roster to be on for the brand.

  1. From the claims page, click Link a location and choose the Brand center.
  2. Enter the Corporate identifier exactly as provided, then click Find entry.
  3. Check the entry’s details and select Your location. Confirm any automatic selection matches the correct store.
  4. Click Accept claim for an entry pre-assigned to you, or Request claim for an entry marked Unassigned.

If you requested an entry marked Unassigned: it appears as Awaiting corporate approval. Ask corporate to review the request. Your location is linked only after they approve it; brand assignments and roster attributes apply from that point.

If you accepted a pre-assigned entry: the location is linked immediately, with no further approval.

If no entry is found, confirm the identifier and selected brand with corporate. The entry may already be claimed, awaiting approval, or assigned to another franchisee.

If corporate allows locations to join without a roster claim, the brand appears as (open opt-in) in the Brand center list.

  1. From the claims page, click Link a location.
  2. Choose the brand marked (open opt-in) and select Your location.
  3. Click Link a location.

The location is linked immediately and appears as Freeform under your Linked locations tab. Corporate sees it as Freeform opt-in. Both labels mean a direct link without a roster claim. It can receive assignments sent to all brand locations, but it will not receive assignments targeted to specific roster stores, regions, or formats. It has no roster attributes and cannot be selected under Specific Stores. If corporate needs to target it by roster entry or attribute, ask them to set up a roster claim.

Pre-assigned entries link when the franchisee accepts them. Requests for entries marked Unassigned need corporate approval.

  1. Open the brand’s Roster tab and find an entry marked Needs Approval.
  2. From its row menu, click View claim. Check the requesting organization and location against your store records.
  3. Click Approve to link the location, or Reject to return the entry to Available without creating a link.

WorkWizard does not send the franchisee a notification when you approve or reject a request. Let them know the outcome, and explain any corrections needed before they try again.

Select Linked locations in the brand’s sidebar to see linked stores across all connected organizations. The list shows the organization, location, whether the link came from a roster entry or a direct link, and when it was made.

Releasing or revoking a claim immediately removes the location’s link to the brand and returns its roster entry to Available. The location loses the entry’s brand attributes and is excluded when corporate next sends or updates location-targeted assignments through that link. Past submissions are preserved.

Existing assignments are not automatically removed by release or revoke. Review any assignments already in the franchisee organization separately; removing the link does not cancel them.

Use Release link to keep the entry’s current organization assignment. Use Revoke claim to clear that assignment, for example when a store changes owners.

Corporate can release a link from the brand’s Linked locations page. Franchisees can release their own links from Linked locations on the claims page. Choose Release link from the location’s row menu and confirm.

Flow usedAfter releaseWho can relink?
Accept a claimAvailable, still assigned to the same franchiseeThat franchisee sees Ready to accept and can accept again with the correct location.
Request a claimAvailable, still UnassignedAny connected franchisee can request it; corporate must approve again.
Link directlyNo roster entry to updateThe franchisee can link directly again if Enforce roster is still off.

On corporate’s Roster tab, choose Revoke claim from a Claimed entry’s row menu and confirm. This removes the link and clears any pre-assigned organization.

The entry is now Available, with Organization reset to Unassigned. If the store should belong to a specific franchisee, edit the entry and assign that organization before asking them to accept it.

ProblemWhat to do
Brand Center is missing from the sidebar.Confirm you are an Admin or Owner and your organization is connected to the brand. Request access if needed.
Find entry returns no result.Check the selected brand and exact identifier, including leading zeros. Ask corporate whether the entry is already Claimed, Needs Approval, or assigned to another franchisee.
A store is missing from Pending claims. This list contains entries pre-assigned to your organization and requests you submitted. Use Link a location to look up an entry marked Unassigned by identifier.
No location is selected automatically.Select the correct location manually. To enable automatic matching, make its Store Number match the roster identifier.
Your location is missing from the selection list.Confirm you are in the correct organization and create the location if it does not exist yet.
Your claim says Awaiting corporate approval. You requested an entry marked Unassigned. Ask corporate to review it on the Roster tab; the location is not linked until they approve.
The button says Link a location instead of Accept claim or Request claim. The selected brand lets you link directly. Ask corporate to enable Enforce roster if you need to claim an entry by identifier.
A linked location has no brand attributes.Ask corporate to check the entry’s attributes. A direct link (Freeform or Freeform opt-in) needs to be replaced with a roster claim to use roster attributes.
You cannot change an entry’s organization or delete it.If it is Claimed, corporate must revoke the claim first.
An organization is missing from corporate’s Organization list.Ask WorkWizard staff to connect that organization to the brand.

Use this order when setting up a new brand:

  1. Ask WorkWizard staff to create the brand, designate the corporate organization as its owner, and connect the franchisees.
  2. Corporate creates the location attributes and brand roles it plans to use.
  3. Corporate adds or uploads the roster, assigns entries to franchisees where appropriate, and adds attributes.
  4. Corporate turns on Enforce roster if every location must be linked through a roster entry.
  5. Each franchisee creates its locations and checks their Store Number values against the roster identifiers.
  6. Each franchisee accepts pre-assigned entries or requests entries marked Unassigned, then maps any brand roles it will use.
  7. Corporate approves valid requests and checks Linked locations and Unmapped Orgs before sending assignments.
