Templates and attributes

Video walkthrough · 0:47Create a templateReuse equipment definitions and custom fields

Walkthrough of “Create a template”

  1. Open Organization → Assets → Templates.
  2. Click New Template and enter its Name.
  3. Select or create a Brand, then a Model if needed.
  4. Under Attributes, click Add Attribute for reusable fields. Choose a name, type, and whether each value is required.
  5. Click Save.

A template defines shared equipment information; it is not a physical asset and has no assignment or maintenance history of its own.

Video walkthrough · 0:53Edit a templateMaintain shared equipment fields

Walkthrough of “Edit a template”

  1. Search for the template on the Templates tab.
  2. Open ⋮ → Edit.
  3. Update its name, brand, model, or attribute definitions. Use an attribute’s edit or delete control to maintain that field.
  4. Click Update.

Review changes to shared definitions carefully. Template attribute definitions and the values stored on individual assets are separate; open affected assets when checking required values.

Video walkthrough · 0:33Use a templateCreate a physical asset from shared equipment details

Walkthrough of “Use a template”

  1. Return to the Assets tab and click New Asset.
  2. Select a Template and confirm it.
  3. Enter the asset’s own Name, identifier, and serial number.
  4. Complete the template’s attribute values and choose any assignment.
  5. Click Save.

The template fills in brand and model and locks those fields. Enter a name for the physical item; selecting a template does not replace that step. Once saved with a template, the asset’s template selection is locked.

Video walkthrough · 0:35Delete a templateRemove an unused equipment definition while retaining assets

Walkthrough of “Delete a template”

  1. On the Templates tab, open the template’s ⋮ menu.
  2. Choose Delete, review the confirmation, and confirm when ready.

Template deletion is permanent. Existing assets are kept and are no longer linked to the deleted template. Review their attributes after removing a shared definition. Use asset deletion when your intent is to remove a physical item’s record.

Video walkthrough · 0:33Organize assets with tagsGroup equipment and find it with tag filters

Walkthrough of “Organize assets with tags”

  1. Create or edit an asset and find Tags.
  2. Select existing tags, or enter a new tag and use the create option.
  3. Remove a selected tag when it no longer applies.
  4. Save or update the asset.
  5. Use Tags in the Assets list to find that group of equipment.

Tags are shared across your organization. Renaming an existing tag changes the shared label, so check where it is used first. The asset identifier is a separate field for identifying one item.

Video walkthrough · 0:44Manage asset attributesAdd, edit, and remove custom equipment fields

Walkthrough of “Manage asset attributes”

  1. Create or edit an asset and scroll to Attributes.
  2. Click Add Attribute, enter a name, and select its type: Text, Number, Date, or Checkbox.
  3. Save the attribute definition, then fill in its value in the asset editor.
  4. Use the attribute’s edit or delete controls to change an asset-specific definition.
  5. Save or update the asset, then check the value on its detail page.

Attributes inherited from a template keep the template’s name and type. Fill in any required values before saving. To define the same fields for many assets, add attributes to a template.
