Brand roster
Overview
Section titled “Overview”Corporate maintains one roster entry for each store. Franchisees link these entries to locations in their own organizations. See the claim flows for the available linking paths.
How the roster works
Section titled “How the roster works”The roster is corporate’s list of stores in the brand. These terms describe how it connects to franchisee locations:
- Roster entry
One store on corporate’s list. Its Identifier, usually the store number, must be unique within the brand.
- Location
A store in a franchisee’s WorkWizard organization. It stays in that organization when linked to a brand.
- Claim
- A connection between a roster entry and a franchisee location.
- Linked location
A location connected to the brand through a roster claim or a direct link.
- Direct link
A connection without a roster entry or claim approval. Called Freeform for franchisees and Freeform opt-in for corporate.
- Attributes
Labels such as region or store format that corporate uses to group roster entries and target assignments.
For example, claiming roster entry 012 for your location at 123 Main Street tells WorkWizard that they represent
the same store. The location can then receive brand assignments that include it and use the entry’s attributes.
Changes to those attributes apply to the linked location automatically.
Corporate chooses how each entry can be claimed:

If corporate turns Enforce roster off, franchisees can also create direct links. Directly linked locations do not receive assignments targeted to specific roster stores or filtered by attributes such as region or format. They can receive assignments sent to all brand locations.
Before you begin
Section titled “Before you begin”- Confirm brand access. WorkWizard staff must connect the corporate and franchisee organizations to the brand and designate the corporate organization as its owner. Request access if needed.
- Use an Admin or Owner account. Corporate manages the roster from the organization that owns the brand. Franchisees claim stores from their own organizations.
- Create the franchisee’s locations. Claims link to existing locations. If a store is new, create its location first. Set its Store Number to match the roster identifier if you want WorkWizard to select it automatically. You can also select a location manually.
Build the roster
Section titled “Build the roster”Open Brand Center, select the brand, and click Roster. You can add stores individually or upload a CSV.
Add entries one at a time
Section titled “Add entries one at a time”- Click Add roster entry.
- Enter the Identifier. Use a unique identifier for each store in the brand, and share it exactly as entered.
For example,
012and12are different identifiers. - Add the Address, City, and State, if available, to help franchisees recognize the store.
- Under Organization, choose the franchisee to pre-assign the entry. Leave Unassigned selected if connected franchisees should request it for corporate approval.
- Select any Attributes, then click Save.
Upload a CSV
Section titled “Upload a CSV”Use a CSV to add several stores at once or update existing entries. Include a header row and one row per store. For example:

- On Roster, click Upload CSV and choose your
.csvfile. - In the preview, click a column header to assign it to Identifier, Address, City, or State.
Headers named
identifier,formattedAddress,city, andstateare assigned automatically. You must assign an Identifier column. - Review the preview and any skipped-row messages. Rows with missing identifiers or repeated identifiers are skipped. If those rows need to be included, cancel the upload, correct your file, and upload it again.
- Click Upload N entries. The number on the button shows how many entries will be uploaded.
WorkWizard adds new identifiers and updates the address fields of matching entries; re-uploading an existing identifier updates that entry instead of creating a duplicate. Existing claims stay in place. The CSV upload does not set organizations or attributes; edit entries to add those afterwards.
Tag entries with attributes
Section titled “Tag entries with attributes”Use attributes to group stores by region, store format, or another shared characteristic. Create them on the Attributes tab with New Attribute, then select them when you add or edit roster entries.
Linked locations use the attributes on their roster entries. Updating an entry’s attributes changes which attribute-filtered brand assignments include that location.
Decide whether to enforce the roster
Section titled “Decide whether to enforce the roster”The Enforce roster switch above the roster table controls whether every new location link must use a roster entry.

With enforcement off, the brand appears as (open opt-in) in the franchisee’s Brand center list. Direct links appear under Linked locations as Freeform opt-in and do not create roster entries.
If every store should use the roster, turn enforcement on before inviting franchisees to link their locations. Turning it on does not remove existing direct links. To replace one with a roster claim, release it from Linked locations, then have the franchisee claim the appropriate entry.
Edit or delete an entry
Section titled “Edit or delete an entry”Open an entry’s row menu and choose Edit to update its identifier, address, organization, or attributes. For a Claimed entry, you can update the Identifier, address fields, and Attributes while keeping the claim. To change the Organization field or delete the entry, first revoke the claim.
To remove an unclaimed entry, choose Delete from its row menu and confirm.
